Individual Scheduling

The EASE scheduler lets you easily create single or recurring assessments for one or more users. These factors are considered when scheduling assessments:


  • Document Max - Defined and set in the document settings page for each document within the scheduling Maximum area. More information on Document Settings here.
  • User Max - Defined and set in the layer setting for each layer. More information on Layers here.
  • Location- Assigned when the document is created.
    • During automation, whichever maximum (document or user) is reached first becomes the limiting factor.


To access EASE's scheduler, navigate to Schedule.


There are two ways to begin scheduling an assessment(s) for a published document(s):

  1. Click on the + button near the bottom right of the screen and select + Individual Assign.
  2. Click on a specific day on the calendar that this assessment will be scheduled on. When hovering over a day on the calendar, a plus sign will be seen. 



Once one of these options have been selected, the scheduling wizard will appear.  


What and Where


1. Select one or more documents to be scheduled. If a day in the calendar was selected, the assessment document for the day you clicked into, will automatically be selected.

2. Select a document's location, or select Or Random to allow the system to randomize locations via the organization tier checkbox for that document.

3. Select Next to move on to the next step.


When 


4. Due Date - The date when the assessment(s) is due, or the first day the assessment(s) will be due when scheduling over a period of time. if a day in the calendar was previously selected, the due date will automatically be the specific date selected.

5. Repeat - The scheduling frequency of the assessment(s) (Never, Daily, Weekly, Monthly, Yearly, By Layer).

6. Repeat Every - Depending on the scheduling frequency, choose a numerical value for the assessment(s) to be repeated. 

7. Start Window - The number of days prior to the due date that an assessor can begin this audit.

8. Grace Period - The number of days after the due date that an assessor can complete this audit. An assessment completed during the grace period will be reported as late (Past Due).

9. End On - From the calendar, select a date for this assessment's scheduling cycle to end upon.

10. End After - Alternatively, determine when this assessment's scheduling cycle will end after a specific number of occurrences.

11. Select Next to move on to the next step.


Who



12. Use the search bar to filter for assessors by user names or email addresses.

13. Filter assessors by their Layer, Shift, Department, Site, or Scope.

14. Check the box(es) to the left of the user name(s) to include in this schedule.

15. Click Save to schedule this assessment(s). 


*Note: Scheduled assessments will populate into calendar for each of the documents selected. Users will receive an email on the first day that the assessment can be completed (if the Start Window is larger than 0), and another on the scheduled due date.
